Job Summary
To extend support in Data management, Recording, Reporting and administrative process to Reporting Manager and State Coordinators for smooth conduct of activities at various locations and timely completion of reporting and disbursements. To act as catalyst between coordinators and various departments at Head Office.
Job Description
Key Responsibilities:
1-Project Documentation and MIS
- Collect the data and maintain the data base of the program(s) (online/offline as per need)
- Maintain the Data charts, dashboards and flow, to keep the data at a single source for easy access
- Coordinate with the various units at project region & Head Office for smooth functioning of program
- Documentation (MIS) of day to day activities in the prescribed formats and report to the reporting authority
- Compile the project snippets
- Documenting the testimonials of School Administration and Education department
- To facilitate the data punching, consolidation and analysis of survey data of program
- Documenting / Collate the innovations, best practices, case stories and testimonials
- Develop and maintain project management approaches which facilitate open, effective and timely communication
- Coordinate with the reporting manager and under his/her guidance complete all the relevant tasks assigned
2-Financial responsibilities
- Take overall responsibility for the effective and efficient management of resources in accordance with Smile Foundation’s financial procedures and local governance regulations
- Verification of bills & vouchers of the team members and vendor bills, and to process for approvals
- Documentation of financial, bills & vouchers for compliance
- Support the Project head in ensuring the smooth process of approvals, bill submissions, disbursements, go ahead etc.,
3-Organisational responsibilities
- Work cooperatively with other department within organisation to pursue project objectives and wider organisational goals, including those relating to brand, communications and resource management.
- Actively participate and support the organisation to ensure to manage resources efficiently and effectively by improvement of systems, reporting and compliance.
- Establish the rapport with Coordinators & managers for smooth program functioning
- Maintain relationships with a network of key internal & external stakeholders relevant to the execution of the project objectives.
- From time to time, the role holder will be required to undertake any other duties that are within the scope of this role.
Accountability
- Performance management & reporting as per the assigned tasks
- Supporting the project management including; planning & delivery, specific implementation of all local level things and governance
- Achievement of the project’s objectives
- The role holder will comply with the organization’s policies and procedures.
Qualifications:
- Graduate/Post-graduate (any stream) in the relevant discipline with the willingness to learn and use innovative techniques
- Strong Communication (written and oral), presentation and Relationship building skills
- Experienced and highly motivated individual, with a proven track record of managing the work and delivering the tasks assigned
- 2-3 years of work experience preferable in MIS & accounts
- Excellent proficiency in M.S. Office (Excel, Word & PowerPoint), Canva and other latest working tools
- Ability to work with multiple teams/people and ability to handle adhoc tasks
- Ability to handle work pressures and deliver under tight schedules, flexibility in approach
- Excellent verbal, written and presentation skills, including written and spoken English and local language. Speaking in Telugu/Malayalam is an added advantage
